Before automating anything or using AI in a workflow, the first and most important step is understanding the actual workflow. Not how it looks in SOPs, but how it is in reality. When you map a workflow from start to end, it’s easier to see the friction points: for example, data is lost and re-entered manually, information is disconnected, and handoffs in specific steps are unclear. “Stop attaching the horse to the car: AI fails when organizations try to bolt it onto old systems instead of redesigning workflows.” That analogy (shared by one speaker at the AI Experience Summit) stayed with us. Before integrating AI into workflows, you first need to understand how decisions move through the organization. And when you do the exercise of mapping one real workflow (not the ones on paper!), documenting the real steps teams follow, including informal handoffs, shadow systems, and delays that are not “officially” mentioned in SOPs, you will identify where decisions get stuck and why, and will discuss and clarify who owns them, what could be improved to remove friction and how. This mini-ebook, co-created with @WorkleapHQ , aims to help you do this exercise by starting small, with one workflow. When we think about workplace wellbeing and mental health, it’s important to understand the conditions in which employees operate. The Job Demands-Resources (JD-R) model in organizational psychology explains how work conditions influence burnout, engagement, and performance. It comes down to two forces: Job demands: workload, time pressure, and complexity. When high, they require sustained physical and mental effort. Job resources: clarity, autonomy, support, and recognition. These help people manage demands, stay motivated, and perform effectively. ⚡ When demands and resources are out of balance, wellbeing suffers. ⚖️ When they're aligned, teams are more likely to sustain performance over time. This applies to every employee, including managers. In fact, managers often experience this imbalance more intensely. When they face sustained pressure, limited control, and unclear priorities, their capacity to support others drops significantly. The same conditions that drive burnout in teams affect managers first. And that creates a ripple effect: the way managers experience work shapes how their teams experience it. If your teams are in the burnout quadrant, the issue isn't resilience. It's high demands meeting insufficient resources. That calls for system-level action: reducing competing priorities, rebalancing workload, and clarifying what matters most. How often do you analyze Job Demands and Resources in your organization?
