If someone (aka another service business owner) can help me answer this, I’ll love you forever. How do you manage your leads at scale and make sure nothing falls through the cracks WITHOUT having something clunky and over-automated like GHL? For example, you get leads in one day from: -FB message -FB ad form submission -Website form submission -Phone call -Text referral ***My question is this — what system do you use to make sure all of those leads are being entered into a follow up cadence if they are not booked immediately?*** We’ve been doing this manually (and I’m doing a lot of the heavy lifting by managing the pipeline and making sure our team doesn’t miss anything) but I know for a fact I need to use some sort of automation to systemize all of this. I’ve been an absolute hound on this and it’s made me a lot of money, but I know to get my time back and to continue scaling I need to shift at least a little bit.

Okay, I'm about to make some of you SMB owners very rich with this post lol What if I told you... there's a way to have one sales guy do the work of 20. Let's say you own a roofing, fence, deck, or construction company... did you know that you can buy high resolution same day satellite imagery? Some of you may know that, roofers especially. The mega roofing companies like Roof Maxx do this, but they pay $35 to $50 PER ROOF to review for storm damage. They also pay companies a lot of money to monitor hail damage in areas. This is still a clunky method that is very expensive. Well fuck that... it's 2026 you guys. Now you can do it, but not only that... you can do it MUCH better and MUCH cheaper. Stop wasting your time and money sending dudes on the ground to go property scouting. This is how you do it... Buy the satellite data, but not per roof, buy the high res images of entire areas where the storm went through. It's like $500. Feed that data into Gemini 2.5 Pro. It's the best AI vision model available. Have it scope every property for homes with damage. Cross reference the flagged properties with parcel data and map a route for your sales guy to go direct to damaged properties only. BUT WAIT... It gets better... Vibe code an app that does it. Connect to NOAA and Open-meteo API. It's FREE dude. 1. Set up automated triggers for severe weather. 2. When a weather event is triggered, it calls to the satellite imagery provider API and pulls the images. 3. The images get picked up by Gemini 2.5 Pro and scanned. 4. Properties get flagged and address matched and triggers the next step 5. Nano Banana 2 reads the storm data to generate a specific storm event mailer and triggers the next step. 6. That mailer is sent through API to a Direct Mail provider with SAME DAY service. 7. Mailers hit the mailboxes before the other companies even get out of bed. BONUS is you didn't even have to get out of bed either. It's automatic man. 8. The addresses are batch scheduled and sent to your CRM for your sales rep to hit them directly. He better get up early. I built this for fun. It works. But I cheaped out my test with Google Satellite imagery because I don't own any of those types of companies man I'd like my Ferrari to be Red please. Thank You. 🫡

The difference between a $50K/month home service company and a $150K/month home service company is almost never the service. It's 5 things: 1. Google Business Profile with 300+ reviews (not 47) 2. A website that loads in under 2 seconds with click-to-call above the fold 3. Local landing pages for every city + service combo they cover 4. A follow-up system that texts missed calls within 60 seconds 5. An owner who tracks cost per lead, close rate, and revenue per job weekly That's it. Same truck. Same tools. Same crew. 3x the revenue. I've watched it happen over and over. The $50K guys say "marketing doesn't work for my trade." The $150K guys say "marketing is the reason I'm booked 6 weeks out." Same trade. Same city. Set rate is one of the most important KPI's in home service - this will blow your mind: If you're aiming to hit $1M in Revenue, and your average job size is $5000, that is 200 jobs needed for the year to hit that goal. If your closing rate is 40%, you need to do 500 estimates. Here's where it gets crazy... Set Rate = Percentage in which new leads actually convert to appointments If your set rate is 40%, that means you need 1,250 leads If your set rate is 50%, that means you need 1000 leads (250 less!) If your set rate is 60%, that means you need 833 leads If your set rate is 70%, that means you need just 714 leads to hit your goal! DripJobs users consistently average between 55-70% SET RATE! Funny how everyone says all you have to do to succeed in blu-collar biz is answer the phone. I missed 4 calls yesterday. What they don’t say is how hard it is to hear your phone ring when you’re running a leaf blower or even when the propane is going and you’re pushing loud metal wheels across a parking lot. I did call all of them back though.
