Got a new dirty word for you. PROBLEM. Don't tell your customers "we have a problem" No one likes to have problems. Use "we have an inconvenience" . You'll get a much better reception.

Using the customers name can help soften the issue. NOT acknowledging them by name can cause more problems. Make sure you pronounce it right
