Client: "Can you automate our meeting notes so we can turn them into action items and usable client data?" Me: "Bet." Here's how I built this epic Make automation (and why it's worth huge $$$ if you're business owner): THE GOAL ⎯ My client wanted to take their meeting transcripts from their transcription software (Tactiq) and turn them into: → Robust meeting summaries → Action items for their team → Actual client deliverables Using Make and Notion, I was able to pull this off. THE SETUP ⎯ First, I needed to build a Google Drive folder to capture their transcripts. Tactiq makes this easy because it'll send transcripts there automatically. Next, I built them a Meetings database in Notion. This will capture their meeting notes and make it easy to associate those notes with their CRM database, their project management database, etc. (more on this in a future post because it's really helpful) THE EXTRACTION ⎯ This is where things get juicy. I pass the transcript through several rounds of AI modules with robust prompts. These prompts train the AI what to look for and how to format the responses. We're not just talking basic action items here. It's pulling out full quotes, important insights for the team to make note of, and "golden nuggets" of info. THE TRANSFORMATION ⎯ This is where the money is made. Not only do we now have a detailed summary... But we actually have everything we need to actually BUILD client deliverables. In this case, my client wanted to use their client's own words to build out "core blocks" of information that can then be used to build custom AI prompts for the client. This is now fully automated. Which not only saves my client time (and makes more $$$ by helping them increase their client load without extra work)... It makes them look REALLY good. Because the time-to-value for their client just went from 1 week to literally 1 hour. THE REAL VALUE ⎯ Before, they had to have a team of VA's comb over each transcript manually to extract the client's details and then build out the blocks of info and send them to the client. Now, that whole process is automated. We're going to add 1 step of human review via a custom Slack message (triggered by this same automation) and then it'll send to the client immediately. THE TRUTH? ⎯ If you're a business owner and you're not thinking about using automations and AI to streamline your operations... You're leaving a LOT of money on the table. This one automation just slashed their time-spent-per-client in half (or more). And it's only ONE automation. I'm building out 10+ more for them right now. By the time I'm done... @TheHunterBohm So true. I made 3 videos a few months back to test it out (before life got hectic af) And somehow they’re still gaining some views this much later.

Yeah the processes of making YouTube videos feels better than any thread I've ever written. So incredibly more rewarding. I could spend 2 hours on a thread for it to be relevant for 24 hours. Or 4 hours on a YouTube video for it to get views for years to come.

@TheHunterBohm @screenstudio Yeah I’m really hoping they’ll fix it and make it better because I really like them! But I totally agree. The point is to make it faster to make video content since it cuts out a lot of the editing time. But if it’s gonna glitch 50% of the time…it’s pointless.

@NixisWorld @gumroad Lovely…can’t imagine that’ll be a good look for them when creators start losing massive money due to simple support issues. Thankfully all my products are currently free so it’s not a big deal to me. But this could raise huge security/liability concerns for them.

@MadisonRPayton @gumroad Nope it changed a few months ago, it's just AI now, and they are going open source, so I don't know what's going to happen to them 🙃

Does anyone actually work at @gumroad support? I’ve been locked out of my account for months and keep getting “escalated” to a human by their AI support email… But I’ve never heard back. Seems like a security issue since people are still downloading my products and I have no way of changing anything or offering customer support. What a crappy customer service experience. Would be a far bigger issue if my products weren’t free.

@WorkWithMarcus @gumroad Yeah I’m just resigning myself to the fact that I might lose that account. Doesn’t appear that anyone is going to reply. Not a huge deal since I mostly retired all those products…but still kinda shocking that you just can’t even talk to a human being.

Why building in public fails for most people It works for experienced entrepreneurs because they already know how to build, execute, and make progress. Bringing an audience along for the ride is just a smart way to market what they are already doing. But for a lot of new founders, building in public becomes the whole thing. Instead of actually running a business, they spend their time documenting an idea that never really takes shape. They think they are following what successful people do, but they are really just creating content instead of a company. There is a big difference between showing progress and performing progress. People can tell. Build something real. Let that speak for you.

@LoganTGott I’ll do you one better: Do a brain dump into your AI of choice and ask it to give you a mind map output in mermaid.js Simply copy and paste it into Whimsical (Miro alternative that allows pasting raw mermaid.js) Instant rough draft that’s easier to edit.

@aNotioneer @theJoshRedd @NotionHQ This. It’s because Notion’s syntax is a weird mish-mash of code. It’ll be nearly impossible for mainstream LLMs to differentiate between “normal” code and Notion’s formulas. You’d have to build a specifically trained model which would take a lot more effort.

@theJoshRedd @NotionHQ I’ve tried 😅 And I’m pretty sure the team has internally too. It’s hard to stop the AI hallucinating and inserting functions that Notion formulas don’t support

Surprised we haven't seen an AI formula builder in @NotionHQ yet.

@raphaelschaad Been a constant source of guilt when I got the iPad and then had to get a laptop since the iPad wouldn’t cut it. Now I just have an expensive slab of glass 😭😅

iPad still fits oh-so-awkwardly into the phone↔︎laptop stack … Sure, there are a few people that swear by it, and do everything on it. But! For most of us, isn't it just like this weird kitchen appliance that you got at some point, you rarely ever use,. and if you do, you could have just as well use the knife and cutting board you have handy for everyday use anyway?

@peterdjames I'll grant you that for HCOL areas. But what I mean is people can usually get out from under crappy 9-5s for far less than they think they can. It's about the lifestyle you want to create and what you're willing to trade for it.

@MadisonRPayton Unfortunately, we live in California so we kinda do need 100k profit. But everything else, totally right!

You don't need a $100k/year business to be free. You don't need to work 80+ hours to make money. You don't need 10k followers to build authority. You need clearly defined goals and a system. That's it. Build a life that works for YOU and stop listening to everyone else.
