Client: "Can you automate our meeting notes so we can turn them into action items and usable client data?"
Me: "Bet."
Here's how I built this epic Make automation (and why it's worth huge $$$ if you're business owner):
THE GOAL

My client wanted to take their meeting transcripts from their transcription software (Tactiq) and turn them into:
→ Robust meeting summaries
→ Action items for their team
→ Actual client deliverables
Using Make and Notion, I was able to pull this off.
THE SETUP
⎯
First, I needed to build a Google Drive folder to capture their transcripts.
Tactiq makes this easy because it'll send transcripts there automatically.
Next, I built them a Meetings database in Notion.
This will capture their meeting notes and make it easy to associate those notes with their CRM database, their project management database, etc.
(more on this in a future post because it's really helpful)
THE EXTRACTION

This is where things get juicy.
I pass the transcript through several rounds of AI modules with robust prompts.
These prompts train the AI what to look for and how to format the responses.
We're not just talking basic action items here.
It's pulling out full quotes, important insights for the team to make note of, and "golden nuggets" of info.
THE TRANSFORMATION

This is where the money is made.
Not only do we now have a detailed summary...
But we actually have everything we need to actually BUILD client deliverables.
In this case, my client wanted to use their client's own words to build out "core blocks" of information that can then be used to build custom AI prompts for the client.
This is now fully automated.
Which not only saves my client time (and makes more $$$ by helping them increase their client load without extra work)...
It makes them look REALLY good.
Because the time-to-value for their client just went from 1 week to literally 1 hour.
THE REAL VALUE

Before, they had to have a team of VA's comb over each transcript manually to extract the client's details and then build out the blocks of info and send them to the client.
Now, that whole process is automated.
We're going to add 1 step of human review via a custom Slack message (triggered by this same automation) and then it'll send to the client immediately.
THE TRUTH?

This one automation just slashed their time-spent-per-client in half (or more).
