Proposal Description and Details PIP-8 (Star Atlas Comet: Community Meetup at Gamescom 2025) HEADER Category: Funding Authors: Shaddix, VB, Kiwimi SUMMARY The Star Atlas community plans to host the Star Atlas Comet meetup during Gamescom 2025 in Cologne, Germany. Scheduled for Saturday, August 23, 2025, from 16:00 to 24:00 (UTC+1) at Quater1, a central event location, this gathering aims to strengthen the community, attract new players, and increase Star Atlas’s visibility in the global gaming ecosystem. The event will bring together blockchain gaming enthusiasts and existing and potential community members for a memorable experience. Funding is requested for the venue and catering (finger food and drinks), with a maximum budget of €7,472.25 covered by the DAO. MOTIVATION Gamescom is one of the world’s largest gaming conventions, attracting a global audience of gaming enthusiasts. The Star Atlas Comet meetup is designed to leverage this platform as a key event for community engagement and outreach. The primary objectives are to strengthen player connections, generate excitement for the Star Atlas universe, and introduce the project’s blockchain gaming concept to a broader audience. As Star Atlas continues to grow, Gamescom is expected to become a recurring presence for the team, making it logical to establish a central event that unites the community and welcomes new players. This PIP aims to organize the first Star Atlas Comet event. If approved by the DAO and deemed successful, it should not remain a one-time event. Instead, the Star Atlas Comet is intended as the foundation for an annual international meetup, complementing the Star Atlas Impact Summit as a core event. With this initiative, the groundwork is being laid for a long-term community tradition that will expand in scale and significance each year. SPECIFICATION 🔸Time and date The event will take place on Saturday, August 23, 2025 during Gamescom in Cologne, Germany from 4 p.m. to midnight (UTC+1). 🔸Location The location is Quater1 in downtown Cologne. Quater1 is very centrally located and can be reached quickly and easily from both Gamescom and Cologne Central Station. Quater1 is a pure event location in the style of the German Alps. We have already requested the “Gipfelbar” with a capacity of over 100 people and reserved it for the date. Event Location: quater1.de/gipfelbar-miet… 🔸Registration Registration and participation in the event is completely free. However, so that we can ensure proper organization of the event, registration via the following Luma link is necessary. Luma Link: lu.ma/jt392wvj Please register for the event only if you genuinely intend to attend. On the day of the event, we will use a guest list based on the Luma registrations. Number of participants Due to the venue’s capacity and to ensure proper event organization, the maximum number of participants is limited to 100. All participants who register via the Luma link are guaranteed a spot on the guest list. If more than 100 people register through Luma, the "first come, first serve" rule will apply. During the event, there will be an opportunity to invite additional interested guests. This can be a great chance, especially for Gamescom attendees, to connect with the Star Atlas community. Those who have registered via the Luma link are guaranteed entry until 6 p.m. After 6 p.m., non-registered guests may also join the event, and their names will be added to the guest list. However, once the maximum capacity of 100 participants is reached, no further entry will be allowed. During the event In addition to free entry, there will also be complementary catering. Along with finger food, this will include a selection of drinks such as beer, wine, prosecco, soft drinks, and water. We are also planning an exciting program for the event, inviting all Star Atlas projects and DACs to participate. We are completely open to shaping the evening together. The event venue is equipped with presentation technology for talks or games. If you would like to represent a project or a DAC within the Star Atlas community, we are looking for partners! Please reach out directly to Shaddix, vb, or Kiwimi—we look forward to planning the evening with you. Branding and merch For the event, we have already designed a catchy name and logo (credits: [S.A.G] Lillillith). This branding will help establish the Star Atlas Comet as a permanent event in the SA community’s annual calendar. ⚠️NOT PART OF THIS PIP: Merchandise is also planned; however, due to time constraints, it is not part of this PIP. We will create a follow-up PIP, provided this proposal receives the community’s approval. Nonetheless, we would like to invite community projects and DACs to take the opportunity to present themselves as established Star Atlas projects during the event. If you are interested in a partnership and would like to contribute merchandise for participants, please reach out to us. After the event To capture the highlights of the event, we would like to document the evening on camera. We plan to use this material to further promote Star Atlas on social media channels and Discord servers. Additionally, creating a short film of the event is an option. If you would like to support us in this effort, please reach out to us. Of course, we respect everyone’s privacy and will not publish any material featuring individuals who do not wish to be shown. We understand that personal identity is a sacred asset in Web3 and will fully respect that. We also want other communities to benefit from our experiences. Therefore, after the successful conclusion of the event, we offer the opportunity to exchange insights and share the "lessons learned" with you. Community and Engagement Strategy The meetup will be more than just a social gathering. We plan to create multiple touchpoints for interaction, including networking opportunities, merchandise distribution, and potential mini-presentations about the Star Atlas ecosystem, Star Atlas IP projects, and DACs. By hosting Star Atlas Comet annually during Gamescom, we have access to a vast audience that we can introduce to Star Atlas. As the acceptance of Web3 gaming continues to grow, Star Atlas Comet will serve as an established and professional event, drawing new enthusiasts directly into the Star Atlas experience. There is also the possibility for us, as a community, to participate in Gamescom itself and promote both Star Atlas and Star Atlas Comet there. 🚨Note: We strongly recommend that everyone planning to attend arranges accommodation, transportation, and, if necessary, Gamescom tickets as early as possible. Otherwise, accommodations may sell out quickly or become extremely expensive. To make organizing and coordinating the event easier, we have created a dedicated Discord server. Join the Star Atlas Comet Discord today using the following link. Star Atlas Comet Discord: discord.gg/9qTydfysjw STAKEHOLDER IMPACT If the PIP succeeds Positive Impacts: For Star Atlas Community 🔸Star Atlas community strengthening and engagement 🔸Potential new player acquisition 🔸Enhanced project visibility 🔸Possibility to connect between the Star Atlas Team and the community Potential Risks: For Star Atlas Community 🔸Unilateral termination of the contract by the location (e.g. insolvency) 🔸Other unforeseeable events that make it impossible to hold the event For the PIP Creators 🔸If the event cannot take place for reasons that are not the responsibility of the creators of the PIP, potential costs must still be borne by the DAO If the PIP gets rejected Positive Impact: 🔸None Potential Risk: For the PIP Creators 🔸In order to secure the reservation for the location, a deposit must be paid early on, which may be necessary before the vote on this PIP is finalized. (Because of Gamescom, locations are booked up very quickly!) 🔸Deposit could not be refunded after signing the contract 🔸Loss of motivation to organize further community meet ups IMPLEMENTATION DETAILS 🔸The organization of the additional services like catering, service, security, guest list will be provided by the location and discussed together shortly before the event. 🔸Implementation steps are covered in the next Section (Timeline) TIMELINE As Soon as Possible 🔸Confirm the reservation for the venue (as soon as possible, as locations fill up quickly during Gamescom). 🔸Sign the contract with the venue, specifying the minimum number of participants. 🔸Pay the deposit (50% of the total costs based on the minimum number of participants). Up to About One Month Before the Event 🔸Finalize the event schedule together with event partners. 🔸Close the registration period via the Luma event. Two Weeks Before the Event 🔸Coordinate with the venue regarding the expected number of participants to plan catering and service. 🔸Make full payment of the total costs for the minimum number of participants. During the Event 🔸Document additional participants beyond the minimum number of participants. 🔸Run the event. 🔸"Have fun!" After the Event 🔸Verify how many people actually attended the event. 🔸Pay the invoice for additional participants beyond the minimum number, up to a maximum of 100 people. COST & RESOURCE ALLOCATION Base Cost (minimum 30 Participants): Fixed Cost: 🔸Venue Rental: €550.00 🔸Technical Equipment: €200.00 🔸Cleaning: €150.00 Variable costs: 🔸(One) Service Staff: €279.20 (€34.90 per person per hour) based on the actual number of participants, two service staff may be required 🔸Drinks Package (Beer, wine, Prosecco, softdrinks, water): €1,080.00 (€36 per Person) 🔸Finger Food: €450.00 (€15 per Person) Subtotal (before VAT): €2,709.20 VAT (19%): €514.75 Total (for 30 participants): €3,223.95 Additional Costs maximum 100 Participants (additional 70 participants): Fixed costs: 🔸None Variable costs: 🔸Additional Drinks Package: €2,520.00 (€36 per Person) 🔸Additional Finger Food: €1,050.00 (€15 per Person) Subtotal (before VAT): €3,570.00 VAT (19%): €678.30 Total (for additional 70 participants): €4,248.30 Total maximum cost for the DAO: €7.472,25 (€74,72 per person) Summary Based on the calculation above, the minimum cost for the DAO (for a minimum number of participants of 30 people) would be €3,223.95. Payment deadline: 50% deposit upon signing the contract, 50% approximately two weeks before the event In addition, the maximum additional cost for the evening itself could potentially be €4,248.30 for a maximum of 100 participants. These would then have to be borne by the DAO after the event has ended. Payment deadline: after the invoice is issued following the event. Note: On the evening itself, up to 70 additional people can attend the event in addition to the minimum number of participants. To ensure that this number can be accurately counted and billed, a guest list and participation wristbands will be used at the entrance. Entrance control is included in the venue’s cost. Conclusion: This PIP requests a total of €7,472.25 from the DAO to cover the maximum expected costs for 100 participants. However, the costs may be lower if fewer people attend the event. The minimum amount the DAO must cover are the basic costs for the minimum number of participants, which will be incurred regardless. These amount to €3,223.95. 50% of these basic costs are due as soon as possible, with the remaining 50% approximately two weeks before the event.
