Basically trying to standardize the whole flow: intake → review → missing docs → follow-ups instead of rebuilding it every time.

The problem with client document collection isn’t technical anymore. It’s operational. Every project ends up with: incomplete docs email chaos manual follow-ups I’ve been working on a more structured way to handle this. Curious if others are running into the same thing.

I asked WordPress devs how they handle client document collection. Turns out: the tech is solved… but the workflow is still messy. Feels like there’s a missing layer here.

Sadly they don't, they sometimes grow faster that they expected and once you scale without a system it becomes exhausting and you could potentially lose clients due to no follow up system in place or any reminds. @algonovalabs Totally agree — automation helps a lot here. What I kept running into though is that most projects don’t even reach that stage. The chaos starts earlier, during client intake. Trying to simplify that part first before adding automation.

@NixisWorld Yeah totally agree : if everything is well structured + CRM on top, it works. What I keep seeing though is that most freelancers don’t actually have that setup in place, so document collection becomes messy real quick. That’s kind of the gap I’m trying to simplify.

@lybaba We also use a CRM that shows us follow ups based on formulas, so we never miss anything. Also if the system is structured properly, collecting documents shouldn't be a problem. Happy to show you around if you want.

@gravityforms Feels like a lot of agencies are building custom workflows around forms for each client. Technically fine, but it always ends up being rebuilt from scratch. Curious if you see people standardizing that part?
